1. Who's actually building this, and is it custom to my business?
Ask directly whether the system is built specifically for your business or assembled from a generic template with your business name swapped in. A real build should reference your actual software (your CRM, your calendar, your booking system by name) within the first conversation, not generic placeholders. If every answer sounds like it would apply to any business in any industry, that's a template, not a system.
2. What happens when the AI doesn't know the answer?
Every AI receptionist or chatbot eventually hits a question it can't handle: a complaint, an edge case, a caller who needs a real person. Ask exactly what happens next. A well-built system hands off immediately to a real person or takes a detailed message and alerts your team in real time. A poorly built one leaves the caller stuck in a loop or drops the call entirely. This is the single biggest quality difference between vendors, and it rarely shows up in a sales demo.
3. Can I see it working before I commit to a contract?
A vendor confident in their build will let you test a real call flow, or at least show you a live example built for a business like yours, before you sign anything. If a vendor pushes hard for a signed contract before you've heard the system actually handle a call, that's worth pausing on. 4. What's the actual monthly cost, all in?
Get a real number, not a range with "contact us for enterprise pricing" attached. Ask specifically what happens when you go over your monthly call minutes, what additional integrations cost, and whether ongoing script tuning is included or billed separately. 5. Who owns the system after we work together?
This is the question most owners forget to ask, and the one that matters most long-term. If you ever want to switch vendors or bring the work in-house, do you own the configuration, the call scripts, and the data, or is it locked inside the vendor's platform with no export path? A vendor who can't give you a straight answer here is building your business a dependency, not a tool.
